Registration fees

The registration fee includes: attendance to all sessions, exhibition, conference material, lunches and refreshments in the breaks during the conference days.

Student fee

The student fee applies for all students enrolled in a recognized academic institution. To register as a student you must be able to provide Student ID or similar documentation. PhD-students/PhD-candidates preparing for their PhD-degree are allowed to register as “Students”.

Registration instruction for Presenting Authors

Each accepted abstract must have at least one full registration attached to it before  May 1, 2019 in order to be included in the program.

Social Events

Welcome Reception, Wednesday 12 June

Place: Conference Centre Wallenberg
Time: 18.00

The welcome reception is hosted by the City of Gothenburg and is free of charge but pre-registration is mandatory if you want to attend. The Welcome reception includes food and drinks.

Boat Tour, Thursday 13 June

Place: Departing with buses from the conference venue
Time: 15.00-19.00
Price: SEK 325 incl.vat (SEK 260 excl.vat)

Conference Dinner, Thursday 13 June

Place: Kajskjul 8
Time: 19.30
Price: SEK 750 incl.vat (SEK 600 excl.vat)

Tickets for the conference dinner on Thursday 13 June can be bought for a discounted fee via the online registration form. Dinner includes a welcome drink, a 3 course dinner and beverages.

The welcome drink is sponsored by Bruker Nano GmbH.

Visa Letter

Individuals requiring an official letter of invitation in order to obtain a visa and authorisation to attend the meeting can download and fill out the form. The form will be available here soon.

Hotel booking

Privacy Policy

We are committed to protecting your privacy. The information we ask for in the registration is the information we need to properly arrange the meeting, logistics, login, payments etc. We will provide relevant information with our partners (travel agency / hotel / venue and industry) with the same purpose. Neither we, nor our partners will share any information with third parties. We may keep your name and email address for future events, but you are always free to reject any invitations. We can not register your information without your approval. By clicking the “I have read and accept the privacy policy” button in our registration forms, you agree that we store your information according to the privacy policy.

VAT on fees – important information

The fees are stated in SEK excluding Swedish VAT. Please note that delegates representing a company or organisation from a country outside of Sweden are NOT required to pay Swedish VAT on the registration fee.

If you are from an EU country – a valid VAT number is mandatory, otherwise, VAT will be added.

If you are from a country outside of EU – you can register without a VAT number.

Delegates from Sweden and private persons are required to pay VAT on the registration fee (25%).

All delegates (Swedish and international) are required to pay VAT on social events (25%) and hotel (12%).

Delegates from an EU country

Please observe that the stated VAT number needs to be correct when registering for the conference, otherwise VAT will be added to your registration fee. If the wrong VAT number is stated in the registration form and needs to be changed later, a changing fee of SEK 500 will be charged.

Please have your VAT/tax registration number ready before you start the registration process.

Method of payment

All payments should be made in Swedish krona (kr/SEK). All bank transfer charges in connection with transferring fees are to be paid by the delegate. No personal, company or Euro-cheques will be accepted.

Payment can be made by the following methods:
Credit card – Visa, MasterCard or American Express. Please note that all credit card payments are made through secure and encrypted online payment gateway, and will be listed as a transaction with Sweden Meetx AB on your credit card statement.

Invoice – Only possible for Swedish companies/organisations with a valid Swedish VAT number (Org.nr). Invoices should be paid within 30 days.

Cancellation of registration and social events

Until 1 May 2019, cancellation is possible and you will be refunded the conference fee less an administrative cost of SEK 500. We regret that no refunds can be made for cancellations received after 1 May 2019. If you cannot attend the conference, your registration is transferable to another member of your organisation, an administrative cost of SEK 250 will be charged. All changes should be done in written form to: scandem2019@meetx.se

Cancellation of hotel

  • When the reservation is confirmed until 8 weeks before arrival, no charge will be taken if reservation is cancelled
  • From 8 to 6 weeks before arrival – 50% of the total cost of the reservation will be charged.
  • From 6 to 4 weeks before arrival – 80% of the total cost of the reservation will be charged.
  • We regret that no cancellation within 4 weeks before arrival will be refunded.

Please note that change of arrival/departure dates within this deadline is to be counted as cancellation. Changes and/or cancellations has to be made directly to Sweden MEETX AB and not to the hotel.
